About the Role

We are seeking a highly skilled and experienced Executive Assistant to provide top-notch support to our Deputy Executive Director. As a key member of our team, you will be responsible for scheduling meetings, organizing events, and ensuring the smooth operation of our office.

Key Responsibilities
  • Provide administrative support to the Deputy Executive Director, including scheduling meetings, preparing agendas, and taking minutes.
  • Organize and coordinate events, conferences, and travel arrangements for the Deputy Executive Director and other team members.
  • Manage and maintain accurate records, including financial reports, travel documents, and decision-making registers.
  • Develop and implement effective systems and processes to improve productivity and efficiency.
  • Collaborate with other teams and departments to ensure seamless communication and coordination.
Requirements
  • Strong technical knowledge and experience in leadership-level executive assistance.
  • Excellent communication and interpersonal skills, with the ability to work effectively with diverse stakeholders.
  • Proficiency in Microsoft Office and other relevant software applications.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Fluent spoken and written English, with a strong command of Finnish.
