WHAT YOU'LL DO

We are seeking a highly organized and service-minded individual to join our team as a Receptionist & Office Assistant. This combined role allows you to be the first point of contact for visitors and colleagues while supporting the overall office operations with your colleague in the same role. In this role, you will manage the front desk and provide comprehensive support to the office, ensuring a smooth and efficient work environment. Your responsibilities will include:

Reception & Office Support:

Greet and assist visitors, clients, and colleagues with a high level of professionalism. Answer and direct phone calls, manage incoming email and mail, and handle deliveries. Prepare and maintain conference rooms, ensuring they are always tidy and ready for use. Process invoices Manage the administration of office keys Support daily office operations to ensure a seamless and efficient environment. Act as the central point of contact for any office-related queries, solving issues such as equipment malfunctions and coordinating services with suppliers. Maintain organized and well-stocked printer rooms, kitchens, and storage areas Manage office-related purchases and services, including communication with vendors. Ensure quality and timely communication with all office vendors and oversee in-house services. YOU'RE GOOD AT

To succeed in this role, you should:

Bring a positive and proactive attitude to all tasks, from greeting visitors to managing daily operations. Demonstrate excellent organizational skills and the ability to handle multiple tasks simultaneously. Communicate confidently with both internal and external stakeholders, handling confidential information with discretion. Stay calm under pressure and adapt quickly to changing circumstances. Suggest new initiatives and think creatively to exceed expectations. YOU BRING (EXPERIENCE & QUALIFICATIONS)
A bachelor's degree is preferred but not mandatory; relevant work experience is more important. Some experience in a similar role, ideally within an international environment. Proficiency in MS Office applications (Outlook, Word, Excel, PowerPoint). Fluent in Finnish and advanced proficiency in both written and spoken English is necessary for this position. Familiarity with office IT equipment and systems is an advantage. YOU'LL WORK WITH
You will be part of our Operations Team, which ensures that our office operates smoothly, efficiently, and productively. The team includes Executive and Management Assistants, Facilities Staff, and a Business Services Manager who leads the entire Operations Team.
