You will be stationed in Helsinki and deliver facility management services of premium quality for one of Four FM´s most reputable clients in the role of Facility Coordinator. Together with a tight Four FM team, you will report to Facility Manager in the same account, with whom you will have a close collaboration from day one.

As Facility Coordinator, you will have various tasks and will be a key player for Four FM, as well as for our client. You will be Four FM´s representative on site and you will develop and maintain positive relationships within the client company as well as with customers, partners and vendors. You will be the "office ambassador" and make sure that all visitors are greeted at the office and ensure that the company's image is reflected through proper telephone and reception procedures, and quality service.

Some of your core responsibilities will be:

  • Management of Facilities vendors such as cleaning and mechanical, ensuring agreed scopes are adhered to.
  • Management of workplace health and safety, including providing relevant certificates and inputting into H&S system.
  • Process supplier invoices and raise purchase orders.
  • Maintain role as primary contact for client service requests, recording them on a Facilities Management tool.
  • Ensure that everything works smoothly on site.

Qualifications:

  • We see that you have previous experience from a similar role and have an understanding of the various tasks within Facility Management.
  • You have excellent communication skills and have a talent for seeing and meeting people, adapting your way of communication depending on the person and situation.
  • You communicate effortlessly in English as well as in Finnish.
  • You take pride in always providing the highest level of service and have the ability to manage your time, prioritize and shift between different tasks, regardless of it being contacting vendors, setting up a conference room, or supervising the budget for facility services.
  • You work well in a team, share your knowledge, and support your colleagues, as well as seek help and information from them when needed.
  • You have a good working knowledge of Microsoft Word, Excel, Outlook and PowerPoint.

We will see it as extra merit if you also have experience from:
Reception and/or other administrative work
