Administrative Lead

We are looking for a highly skilled Administrative Lead to join our international team in Espoo. As an Office Manager, you will be responsible for overseeing the general administration of the office, ensuring smooth operations, and coordinating with external service providers.

The ideal candidate will have a few years of relevant work experience in office management or administration, be fluent in Finnish and English (both written and spoken), and available to work on-site at least one day per week. They will also have excellent communication and organizational skills, be able to work in a remote environment without a formal hierarchy, and be willing to take ownership of their work.

The Administrative Lead will work closely with colleagues from different locations, collaborate with external service providers, the finance team, and the People team based in Germany to ensure smooth office operations and administrative processes in Finland.

The key responsibilities of this role include:

  • Oversee the general administration of the Espoo office
  • Ensure smooth operations and coordinate with external service providers
  • Act as the main contact for stakeholders and manage office communications
  • Provide administrative support, including coordinating board meetings and taking minutes
  • Assist the finance team with invoice verification, travel reimbursements, financial audits, translations, and monthly financial closing
  • Support the People team with HR-related tasks, such as managing employee benefits, ensuring workplace safety, and onboarding Finnish employees
